DEFINITIONS
Personal data – any information relating to an identified or identifiable natural person.
Processing – any operation or set of operations performed on personal data or sets of personal data.
Data subject – a natural person whose personal data is processed.
Child – a natural person under the age of 15.
Data protection principles
We are committed to the following data protection principles:
- Processing is lawful, fair and transparent. Our processing activities have legitimate grounds. We always consider your rights before processing personal data. We will provide you with information about processing on request.
- Processing is limited to the purpose for which it is intended. Our processing activities correspond to the purpose for which the personal data was collected.
- Processing is carried out with a minimum of data. We collect and process only the minimum amount of personal data necessary for the specified purposes.
- Processing is limited in time. We will not keep your personal data longer than necessary.
- We will do our best to ensure data accuracy.

Rights of the person concerned

- Right to object to processing – In certain cases, you have the right to object to the processing of your personal data. In particular, you have the right to object at any time to the use of your personal data for commercial prospecting purposes.

Warning: S’com Services does not set and does not have access to data concerning you resulting from the placement of cookies by social networks on its social networking pages. Statistical data from these cookies is only made available to S’com Services in an aggregated (anonymous) and non-individualized form. Only the services of the social networks concerned can therefore technically respond to your requests relating to the cookies used.
The data we collect
Information provided by you
Personal data is generally collected from users by S’com Services.
This includes your first and last name, your contact details and any other information you give us when you use our site or interact with us in any other way, such as when you fill in forms (e.g. contact or circle registration), or when you contact us with questions or testimonials.
Information automatically collected about you
This includes information that is automatically stored by cookies and other session tools (e.g. your IP address information). This information is used to improve your customer experience and also to protect the S’com Services site from possible computer attacks. When you use our services or consult the content of our website, your activities may be recorded.
Social networks
S’com Services has access to the public profile data of users who interact with our social networking pages (Facebook, Twitter, Instagram, YouTube and Vimeo). This data is only used by S’com Services within the social network concerned and is not included in any files.
Information collected in the context of file exchanges with other organizations
We may exchange files with other organizations. In this case, we will only use your data for the purposes of the campaign concerned, and we will inform you of the origin of your data when we contact you. We will not retain your data beyond that point, unless you wish to do so or interact with us by making a donation or responding to a survey, for example.
How we use your personal data
We use your personal data for the following purposes. Whenever we process your personal data, we do so on the basis of a legal “justification” (or lawful basis) for the processing, which we have identified below:
Purpose : recording and updating of individual information required to manage orders and send invoices
Justification : compliance with our legal obligations and performance of the contract.
Retention period: the time required to send the receipt, then in the form of an intermediate archive, for the legal retention period.
Your data is kept until the donation has been paid in full, and is archived for 13 months following the debit date, or 15 months in the case of deferred debit cards, in the event of a disputed transaction.
Purpose: to manage our customers, including the creation and updating of your contact details.
Justification: our legitimate interest in animating our activity in order to disseminate and promote our action to as many people as possible.
Retention period: 3 years from the last interaction with the participant.
Purpose : to manage your requests communicated by any means of communication (via our contact form, e-mail, telephone or other).
Justification : your consent, as well as our legitimate interest in responding to your requests.
Retention period: the time required to respond to the request.
When we receive your requests by e-mail, we keep them in our mailboxes for 1 year, after which the exchanges are archived.
Purpose : to manage our social networking pages, including the compilation of anonymous statistics (audience measurement) by the social networks concerned.
Justification : our legitimate interest in our relations with our community.
This processing is based on data collected via cookies, installed by the social networks themselves. We invite you to read the respective cookie policies of the social networks in question to find out more.
Retention period: as long as you interact with our pages.
Purpose : to fulfill our accounting obligations.
Justification : compliance with our legal obligations.
Retention period: in the form of an intermediate archive, for the legal retention period (10 years for accounting purposes).
Purpose : to manage requests to exercise the rights of data subjects.
Justification : compliance with our legal obligations.
Retention period: the time required to respond to your request and 1 year.
Purpose : to manage an opposition list.
Justification : compliance with our legal obligations.
Retention period: 3 years from exercise of right.
Purpose : to manage our pre-litigation and litigation files.
Justification : our legitimate interest in establishing proof of a right or contract, and defending our rights.
Retention period: duration of the related statute of limitations, generally 5 years.
Who may access your personal data
The persons who may receive this data are: the owner of S’com Services and our technical service providers who process your personal data as subcontractors on our behalf and according to our instructions, in particular for :
- Managing our event and workshop/training registrations
- Hosting your data
We disclose your personal data to third parties only when we are legally obliged to do so, or with your prior consent, or in the context of file exchanges. In particular, we may exchange your personal data with other organizations as part of our prospecting operations. We always ask for your consent before sharing your electronic contact details. You may also object at any time to the sharing of your postal or telephone details.
Your personal data is not transferred to countries outside the European Union. However, publications and public exchanges on social network pages may be accessible outside the European Union, as social networks are accessible worldwide.
The data required to compile statistics may be processed outside the European Union, in accordance with the data management policies of the social networks concerned.
How we secure your data
We do our utmost to protect your personal data and privacy. We have put in place appropriate security measures to protect your data against unauthorized access, modification, use or disclosure, unlawful destruction or accidental loss. Where possible, we use pseudonymization or anonymization procedures to ensure that your data remains confidential.
Children
We are committed to ensuring children’s safety and protecting their privacy. We do not knowingly collect or use data from minors under the age of 15 via our website without the prior consent of the holder of parental responsibility. In the event that we become aware of unauthorized collection of such data, we will take appropriate measures to delete such data as soon as possible.

HOW LONG DO COOKIES LAST?
Some cookies are deleted when you end your session and exit the browser. Others are longer-term and are stored on your device so that they are there when you return to the website.
Persistent cookies: a persistent cookie is stored as a file on your computer and remains there when you close your web browser. The cookie can be read by the website that created it when you visit that website again. We use persistent cookies for personalization purposes (see above).
